Managing Events inside CourtReserve: Setting up Recurring Events

While court reservations is a big part of what we do, we often here how simple, yet powerful our platform manages a club’s programming. Programming consists of your club offerings of player clinics, adult socials, private lessons and more. Most tennis clubs do a great job of offering these events, but lack when it comes to marketing them. That’s where we come in! By using our event module, we make it super simple to get these different events created and most importantly getting them in front of your members to get them signed up. Remember, the more members you get signed up for clinics, lessons, and socials, means more revenue for the club.

This is part 1 in a multi-series video blog that will highlight managing events inside the CourtReserve platform.

(0:00) Tim here with Court Reserve and today I
(0:03) want to show you how to create a quick
(0:05) recurring event inside our platform.
(0:08) An example of a recurring event may be a
(0:10) junior clinic, an adult social, or even
(0:14) a private lesson. Since the event
(0:16) categories are customizable by you, the
(0:19) admin, you can create a number of
(0:21) different events.
(0:24) So, in this video, I’m going to show you
(0:26) how to create a recurring event that is
(0:28) going to meet on multiple days
(0:30) throughout the year. To get started with
(0:32) creating my new event, I’m simply going
(0:35) to click add new event under the events
(0:37) menu.
(0:39) Let’s say we want to create a men’s
(0:41) night that meets on Monday nights. I’ll
(0:44) simply enter the name of the event and
(0:46) move on to filling out the rest of the
(0:48) fields.
(0:49) The first field is is featured. If this
(0:53) checkbox is checked, then you can
(0:56) quickly and easily feature this event on
(0:59) your own club website using our embed
(1:01) feature. I will show you this in detail
(1:05) in a future video.
(1:07) Next, we need to select the event
(1:09) category. For this event, I’ll simply
(1:12) choose the adult clinics category.
(1:15) Please keep in mind these event
(1:17) categories are completely customizable
(1:19) to fit the needs of your club. You can
(1:22) have as many different event categories
(1:24) as you like.
(1:26) Next, we need to specify the max players
(1:29) of the event. This is how you can
(1:31) restrict the amount of players you want
(1:33) to come. However, if you want to start
(1:36) up a weight list after the max number of
(1:38) players is reached, you can do this
(1:41) easily by selecting the allow weight
(1:43) list option.
(1:46) If the weight list option is checked and
(1:49) the event is full, members will then be
(1:52) presented a button where they can sign
(1:54) up for the weight list. This is a great
(1:56) feature because the platform will
(1:58) automatically email all the weight
(1:59) listed members if a spot becomes
(2:01) available with a link to sign up for the
(2:04) event. This is a great way to maximize
(2:06) your event participation.
(2:09) Next, it’s time to set up the dates of
(2:11) the event. First, you need to set the
(2:13) event start date. In this example, I’ll
(2:16) set it to the first Monday in July,
(2:18) which is the second.
(2:22) I’m going to skip the continuous event
(2:25) setting for now, but this would be used
(2:27) if you wanted to create a continuous
(2:29) event across multiple days. A good
(2:32) example of this would be a weekend
(2:34) tournament where you wanted to book out
(2:36) the entire weekend.
(2:39) Next, I will enter the start and end
(2:41) times for this event. For this men’s
(2:44) night event, I’ll set the start time to
(2:46) 6:00 p.m. with an end time of 8:00 p.m.
(2:50) Next is where I like to say Court
(2:52) Reserve flexes its muscles. The
(2:54) recurring option in the platform are
(2:56) very flexible. As you can see, we offer
(3:00) multiple recurring options, including
(3:02) daily, weekly, monthly, and even custom.
(3:08) I’d love to show you quickly what custom
(3:11) can do. Let’s say you had an event that
(3:14) meets on sporadic dates.
(3:17) If you pick the custom option, you could
(3:19) select all the different dates the event
(3:21) would meet from a yearly calendar. This
(3:24) is a great way to set up an event that
(3:26) doesn’t fit into a set recurring
(3:28) schedule.
(3:30) Next is where you pick the organizer of
(3:33) the event. This is the person or persons
(3:36) you will be who will be in charge of the
(3:39) event. This is normally the teaching pro
(3:42) or some other staff member that will be
(3:44) at the club and at the courts once the
(3:47) members arrive to the event.
(3:51) Next, if this event requires courts,
(3:53) this is where you would select all the
(3:55) different courts to book for this event.
(3:58) A cool feature that the platform offers
(4:00) is that if there is a conflict based on
(4:02) any date in your occurrence that will be
(4:05) there will be a conflict warning for the
(4:07) courts that are not available during
(4:09) this time.
(4:11) Next, you would select any resources
(4:13) that you want to reserve for the event,
(4:16) such as a ball machine or a ball hopper.
(4:18) Remember, resources are also
(4:20) customizable to your club and can easily
(4:23) be set up in the general settings area.
(4:27) In the next part of the video series, I
(4:29) will go into the membership type
(4:31) specific options you can set up. The
(4:33) Court Reserve platform really makes it
(4:35) easy to set up your event with different
(4:37) configurations across membership types,
(4:39) including cost, registration, and more.
